Version 1.0 · Effective date: 27 October 2026
This version was replaced on 28 October 2026. The current policy is at handleip.com/privacy.html.
This Privacy Policy explains how DroneFence Inc., operating as HandleIP (“HandleIP”, “we”, “us”), collects, uses, discloses and protects personal information in connection with the HandleIP drafting service, our website at handleip.com, and our related communications (together, the “Services”).
“Personal information” means information about an identifiable individual.
The Services are intended for registered patent practitioners and their staff, acting in a professional capacity. This policy works together with the terms you accept to use the Services (the “Terms”). If this policy and the Terms differ on how we handle the materials you send us, the Terms govern.
Accountability and contact. DroneFence is accountable for the personal information under its control. Our privacy officer is the Director, Ben Van Adrichem:

By using the Services or accepting the Terms, you consent to our collection, use and disclosure of personal information as described in this policy. Where the law requires express consent, we will ask for it.
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Because we cannot provide the Services without the information described here, withdrawing consent means you will no longer be able to use them. We will tell you about the consequences when you ask.

Other people’s information
Please do not send us sensitive personal information, such as government identification numbers or health information, unless a request requires it.
We use personal information to:
De-identified and aggregated information. We may create information that does not identify any individual, firm or client, such as the number of matters we handle, turnaround times, fees and revenue, and measures of service quality, and use it to operate, report on and improve our business.
We do not sell personal information, share it for third-party advertising, or market to your clients.
Contacting practitioners about HandleIP. We may email registered patent practitioners to tell them about HandleIP, using the business contact information described in section 3. We keep a record of where we found each address, use it only for messages about our Services, and stop contacting anyone who asks. Every message explains how to opt out.
We share personal information only as described below.
Service providers. We use service providers to help us operate the Services, such as AI model providers, email, cloud hosting, website hosting and payment processing. They may use personal information only to provide services to us, under terms that require them to keep it confidential and protect it. We remain responsible for information we give them.
AI model providers. To prepare drafts, we send the materials you give us to third-party AI model providers. We use only providers whose terms prohibit them from training their models on that content and require them to keep it confidential. They may keep it for a limited period under those terms, for example for security and abuse monitoring.
Our Service Provider List. We list the service providers that process the materials you send us, with what each does and where it processes information, in the Service Provider List at the end of this policy.
Changes to our service providers. We may add, replace or remove service providers. Before a new service provider begins processing the materials you send us, we will update the Service Provider List and notify you by email at least 14 days in advance. If you object, you may stop using the Services and ask us to delete your materials before the change takes effect. If we must make a change urgently, for example for security or to keep the Services running, we will notify you as soon as practicable and in any event within 5 business days.
Legal requirements and protection of rights. We may disclose personal information where we believe it is required or permitted by law, such as to comply with a subpoena, court order or other legal process, to respond to lawful requests from authorities, or to protect the rights, property or safety of HandleIP, our users or others.
Business transactions. If we are involved in a sale, merger, financing, reorganization or similar transaction, personal information may be disclosed to the other parties and their advisers, and transferred as part of the transaction, subject to confidentiality obligations and to the protections in this policy.
With your consent. We may share personal information for other purposes with your consent.
We are based in Canada. Personal information may be stored and processed in Canada, the United States and other countries where our service providers operate. Those countries may have different privacy laws, and information held there may be accessible to the courts, law enforcement and national security authorities of those countries.
We keep personal information only as long as needed for the purposes described in this policy, or as required by law.
When information is no longer needed, we delete it or make it anonymous. Deleted information may remain in backups for a limited time until it is overwritten.
The materials you send us may include personal information about other people, such as inventors, examiners, attorneys and your clients. Much of it comes from public patent records. We use it only to provide the Services and protect it in the same way as your own information.
When you send us such information, you confirm that you are permitted to do so, including that you have any client consent your professional obligations require. Please send only what a request needs.
We use physical, organizational and technical safeguards appropriate to the sensitivity of the information. These include measures such as access controls, multi-factor authentication, encryption and confidentiality obligations for our service providers.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach of our safeguards creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as the law requires.
Subject to applicable law, you may:
Opting out of outreach. To stop receiving emails about HandleIP, reply “unsubscribe” to any message or email benva@handleip.com. We will act on your request within 10 business days.
To make a request, contact our privacy officer at hans@handleip.com. We will respond within 30 days, or tell you if we need more time as the law allows. We may need to verify your identity first. If we cannot fully meet your request, for example because the law requires us to keep certain records, we will explain why. We make these rights available to all users, wherever they are located.
The Services are intended for professionals and are not directed to children. We do not knowingly collect personal information from children.
Our website or communications may link to websites we do not control, such as the USPTO. This policy does not apply to them, and we are not responsible for their privacy practices.
We may update this policy from time to time. If we make material changes, we will notify you by email before they take effect. The effective date at the top shows when this policy was last updated.
If you have questions or concerns about this policy or our practices, contact our privacy officer at hans@handleip.com or at the address in section 1. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
